Journal and Entries

🧮 Transaction-Level Accounting

Once the accounting module is activated in Wallee Portal, the system creates a dedicated Account Receivable for every transaction. These entries can be inspected directly by opening the respective transaction in the Space > Accounts > Journal.

🔍 Viewing Transaction-Level Entries

Each transaction includes detailed accounting records. In order to access them just open a transaction and on the transaction you find the different book-keeping entries

  • 💼 An Account Receivable (Debtor Tool) is opened at the moment of sale
  • 🧾 If tax is applied, a corresponding tax booking is created
  • 💳 Upon settlement via acquirer or incoming bank transfer, a counter booking is generated
  • 💸 If applicable, a payment fee is booked alongside the settlement

🧠 All accounting data is visible directly within the transaction view, or globally via Space > Accounting > Journal Entries.

In some edge cases, bookings may not be created automatically. In this case, entries can be created manually per transaction.

To do so:

  1. Open the transaction
  2. Navigate to the Record Bank Transaction section
  3. Create a new manual bank entry if an outstanding amount is present

⚠️ Warning: Once created, bank transactions cannot be edited or deleted.

We strongly recommend avoiding manual creation of bank transactions unless absolutely necessary. The preferred method is to import settlement files.

📑 Journal Entry Structure

When a transaction is processed in Wallee Portal and the accounting module is enabled, the system creates corresponding journal entries that follow a double-entry principle. These entries can be inspected directly in the transaction view or under Space > Accounting > Journal Entries.

Below is a real-world example of such a journal structure.

Please note in order to get the tax reporting you need to provide the tax as line item on the transaction.
